SECURITY
- Meeting to be called by Ilana about security – still to be done
- Action: idea of an agreement to be signed by the new keyholders. Haz will start writing the agreement and circulate it.
- Discussion about security: Phips saying we could put a code on the door for the room going to the safe/Adrin suggests we could have a time clock/Alan says we could have a new safe with a code that changes every month
- Ilana suggests that we put a pad-lock on the door for the room going to the safe with the code that changes regularly
- Adrin: it is good to spend money on making things better as anyway we are saving money by avoiding for it to get stolen
- Haz/Stephanie: changing codes too regularly not possible
- Action: to put a pad-lock on door that leads to the safe – Ilana to take that forward.
- Alan; dring an event, the keyholder can keep the key of the safe with him.
- Adrin: £100 in floats – could it be redced?
- Ilana: we need a lot of change on a club night
- Haz: reduce float to £50 possible
- Alan/Craig: let’s go on Ilana’s proposal of a padlock on the door for a month and see how it works THAT IS THE CONSENSUS DECISION
- Stephanie/Adrin: worried about safe key being easily accessible in the safe room.
BUILDING MAINTENANCE DAY ON SAT
- Alan says a designer will come to maybe redesign the kitchen
- Hannah: induction and maintenance day are at the same time as Films Without Borders – careful!
- Bill: shall we free more space from the place where tonnes of stuff is stored?
- Flap at the bar – going to be done soon
- Bill: lighting change to be done, people not reliable
- Chris: looked at chairs on ebay. Are we still looking for chairs? Alan is looking for chairs.
- Ilana: we have a lot of outgoing money at the money so let’s think about it when we want to buy stuff – careful not to spend too much!
- Colin: have you thought about contacting Uni for chairs?
- Sat 12 Apr: Van will come and Hannah and Bill will take stuff away.
BAR
- Flap sorted this week
- Haz: prices shouldn’t be changing
- Alan: we don’t want the prices to go up when we have a certain type of event, that is not respectful to our customers. Having low prices is part of our ethos, it is important to maintain that.
- Phips; apologies for price change on the Road to Rimini night, it was done so that giving change out is easier.
- Craig disagrees with Alan: some events/club nights make a lot of money and it is good to make as much money as we can as this compensates for events that make less money. It helps us to then programme things that are less mainstream.
- Ilana: proposal is that private hires do not happen. Don’t want to have that type of night when we feel we are being exploited.
- Bill: selling alcohol to young people is not good we should put the prices up.
- Simon: the price increase helps for paying for the rest of the building.
- Steph: higher prices helps artists indirectly as it helps them fulfil the contract that says that £250 has to be spent at the bar.
- Action: Bar team to discuss/come with proposal
PRIVATE HIRES
- Craig: private hours are too much work/too many hours of work/nobody wants to work at them, we should not have them anymore. Like last weekend for the get involved gig: a lot of hours of work and cleaning up, etc
- Ilana: not interested to work for those nights
- Ilana/Pauline/Haz: they have been talking about it and have thought that maybe private hires should not happen anymore. Birthdays/weddings are annoying. We want more events like Uni hiring the building for workshops, etc – that is good money and does not require too much work.
- Pauline has said as well that the £50 contract is not really working as she has to force people to do things/tell them what to do, when the ideal situation is for people to be more responsible and not have to be told things. The idea would be that from now on people should get involved first, work with us, and then see if they wanted to have an event on.
- Phips: we should ban people from having an event again if they do not do it properly.
- Craig proposes: shall we cancel private hires?
- Ilana says: it is not possible.
- Action: Ilana/Haz/Pauline will continue work on new contracts and put them on the wiki (some of it already on the wiki) – open for people to discuss/talk about.
- Haz: Duncan participatory video days – shall we give them a discount as they need the building for 3 days – Ilana says we can discuss that with them.
NOISE POLLUTION
- noise complaint about club nights – somebody complained to the Council after the last Road to Rimini night. Ilana called the Council about it.
- Noise probably going out through the roof
- Late licences are the problem.
INSURANCE IS DE AGAIN
- £2,500 for the year
- New quote is £2,700 – but it covers for loss of business, insures camera to go off-site;
- Separately from that we could also pay £300-£400 (?) for director’s liability.
People think that the £2,700 not necessarily needed, but we should pay for director’s liability.
PROJECTOR
We’ve been offered a new projector for £2,500.
MARKET
Craig decided that we’ll have a SS stall to sell stuff. So if you have stuff you want to get rid of/sell, let craig know.
However, for insurance purposes we cannot sell old/broken electric equipment or toasters/kettles.
