NB - these notes went into a bit of freefall when we discussed the programming documents - couldnt do both at once! IM

Present:

Haz, Christo (facilitator), Carl, Mike, Mat, Adrin, Bill, Ilana (notes), Lee and Magda To Do from last meeting:

-Sort out 28th Feb. clash with next door -Rimini moving on the PA we could potentially buy - they need someone with PA knowledge to look at it. Christo started wiki age of ideal PA spec for whole building. Please add to it and refer to it. -Community Land Trust meeting - tomorrow night meeting. Not here, we didn't get back to Kirsten in time. But folk should go

Issues this meeting:

Debbie's concern over people booking on wiki and cancelling and not letting people know. Add to compilers job - going through everything in advance. Agreed Debbie's plans sound good and to support this.

Confirmed how general format for Programme meeting work - updated the page on wiki to use in future.

New ideas:

Film programming - higgledy piggledy at the mo. Some theme-ing happening successfully - e.g. Sci Fi being picked up. Could we have a themed genre or director - for a month of the brochure? Build up audiences through that. Discussion ensued about having clarity of programme in this way - good for audience expectation but potentially not as open a structure. Of course is reliant on programmers doing this on time.

Bill brought up issue of people mentioning things some people don't understand and suggestion of bringing in outside programming expertise. e.g. Getting info from distributors on films. Mat responded that he has done this - and it doesn't work like this. But what issue brings up is that there is a lot of knowledge in collective vols heads but not enough time to explain or talk this through in a meeting. So it should be aspiration and good idea to talk about films so group understand what the films are.

Proposals to try:

  • 1. one month out of two in a season to have a series over a thurs or sun - to keep the openness and coherence of programme in a good balance.
  • 2. research coherent programme of four or five films and argue its case. invite by email on programme list + all vols.
  • 3. Forward planning - so that some of the nights that get booked up in advance can be taken back for films in series.


Carl asked if we could host some of the annual Comedy festival - too late for this year but can bear in mind for next year.

Mike asked if Aug 30th available for Rimini event - one off exhibition and live event. Bit like a ghetto method event. works on sticky back vinyl to peel off. Bank holiday weekend. No problems with this, good way to get back up and running at end of august.

ACTION - next meeting need to go through June and July as this is a way to take forward Debbie's proposal of going through wiki a month before brochure.

Late licenses:

March - Rimini.

April - Caster Sugar

June - Hit and run

Need to make sure these are run right. how do we make sure this happens right so nothing bad happens? Who is responsible. e.g. Caster Sugar there were a few probs of people smoking. Ilana needs info on how these will run to get license from the programmer.ACTION: find a way to make this work better - Ilana will work on this, talk to Pauline.

Star and Shadow is not a building:

At this point we discussed the writing up of explaining how the building works that Haz and Ilana are working on. The notes from this are incorporated into these documents at the time ACTION: Haz and Ilana to continue to work on this and feedback to group. ACTION - Mat to work on the film programming page

Needed to discuss a few issues that come out of this:

In particular:

In general for events we need to be clear about what tech we provide and what tech needs programmer has need to be made clear for all events. Private hire - is everything able to be used in the building as part of that hire fee? Need to be careful that things are used correctly and safely. Should PA be part of private hire?

We need to do a Kit audit. Health and safety implications, insurance implications. ACTION: Christo doing kit audit and think about how to price private hires accordingly i.e. if extra equipment is used.

Bill suggested keeping kit away from main areas to avoid damage, electric shocks etc. To be further discussed at general meeting and any ACTION: by building maintenance team.

Discussed email issue this week with Sean Conway (who was invited to this meeting). There was a lack of clarity over the issue which needed some straight communication -all agreed its a shame that it got the way it did. Highlighted importance of the work we are doing to clarify how we work that we spend lots of the meeting discussing!

Thurs - network - mat projecting, ilana key hold+2 vols.

Fri - AV Exhibition opening + gig. Debbie and Mat - need a call out for Friday.
