21 July general meeting

Present: Christo, krista, Jona, Chris B, Adrin, Mat, Debbie, Bill, Alex, Dominic, Roger, Phipps.
1. Publicity
- Last year did a call out to volunteer designers. Debbie wanted to have an evaluation and discussion about approach for coming year.
- All agreed Debbie's most recent design (june jlu08) was best yet in terms of layout and legibility. Concern about dates being at bottom of text blocks.
- Debbie's design was 1/2 price the usual.
- Concern that new designers suffer from 'first time' design faults, and dont get a chance to get better. Maybe this means we opt for designers that have already done a good job.
- Phipps interested in getting involved.
- Suggestion that designers do front cover design and in house do rest
ACTION: Designers to be given the paper dimensions and rough format as basis for their designs.
ACTION Debbie to do september brochure, and Alan and Debbie to find Oct/Nov.
2. Made in USSR event
- concern about number of volunteers. New technical needs brought up which require specific skills - registered as problematic.
- Still need projectionist for Saturday night.
ACTION Jona, Bill and Adrin to cover Friday. Bill to key hold every night. Send email out about projectionist for saturday plus bar volunteers
ACTION Email bar group to order more Russian Standard vodka.
3. Polytechnic
- Request invoice for april-July rent, then another quarterly invoice in November.
- Roof in corner of cottage is leaking or has damp.
- 2 new members to Polytechnic who need to be keyholders and inducted. Need to make the alarm zoned so they can just turn off alarm in cottage.
ACTION Poly group to look into the alarm and liaise with ADT
ACTION Craig to look into the lease and ask Matt Forster to look into the roof.
ACTION Make more electronic fobs for the cottage lack - Did Ilana or Debbie know how to do this?
4. Last 2 Weeks
- Matt Forster frustrated that we were sound checking before 5 on saturday. PLEASE NO SOUND CHECKING BEFORE 5PM.
- Chris Bostock registered thanks for the new lighting rig.
5. Building
- All box files transferred into small filing cabinet.
- All tools transferred into filing cabinets - please respect the system.
- New shelving system in room behind bar for p.a and lighting equipment. PPLEASE respect it. Please do not put any broken cables in that room.
- Building festival coming up.
ACTION Email out about any lampshades or material that people have that they can bring.
6. Finances
- VAT inspection continues, but looks fine according to accoutnant.
- Accounts can not be presented/ published until VAT inspection is finished.
- Requested detailed reports off the accountant to help explaining them to the wider group and to help budgeting for next years.
- Bar take looks considerably lower than we expected (income should be double expenditure). reasons suggested were theft during 1st half of year, stock theft, volunteer drinks and volunteers not paying for drinks, wasteage etc.
- Sugestion of keeping volunteers drinks till separate so it is easier to account for how much is going on volunteer drinks.
- Taxi account recommended but lots of anxieties over sruples of taxi firms and peoples experience with accounts. Bill suggested a single far option which should work out in the long run.
ACTION Bill to negociate with cab company.
ACTION Email bar team to suggest they work out a solution to this issue.
7. Bar
- Needs more beer and vodka and crisps.
8. A.O.B
- Jona has booked Barbara Morgenstern as a Star and Shadow promotion. Great news.
- Chris Bostock looking into inviting One North East to the building and developing relationships with them,
- Radio show was a big success. Phipps looking into getting a regular slot - Craig has offered to present regularly. Need to get NE1 fm on the weekly announce list.
