First, because of timing:
Debbie presented the new document which is both emailable and a printed document which is all the info programmers need
brochure back on thurs. mailout on the weekend, debbie will email out about it.

ACTION: Christo - going to email who arent here who are leading on groups to feedback.
FEEDBACK/ACTION: Ilana - calling a meeting about secure autonomous future - and particularly the building
FEEDBACK/ACTION: Haz - working with communities - family group, older people forums
Christo - equipment - bought projevtor, working on PA - working with Rimini and with Jona. Green festival PA being stored here and can be used by the cinema. Can be used via a bike (free) or mains (not free) generator. This should sort our PA issue and mean we have a good one! Other equioment - people are on the case.
Financial issues
Money Missing
This is an ongoiong issue that is upsetting to everyone. More than £100 has gone missing over the last week, and consistently this is a big problem.
Through discussion we agreed the following actions for a new system:
ACTION: Change the back door lock and keep a list of all people who need keys and have them. ILANA will ask SIMON to do it as he is good at fixing the door. List of people to be kept in building and on wiki and email list updated. ILANA will do this.
ACTION: Lock the safe key in a lockable and annoying to find place. People who identify as event keyholders to have key to this only. Locking cabinet - ILANAwill research
ACTION: Change push button door codes - CHRISTO
ACTION: Change the alarm code - ILANA to research.
ACTION: have a meeting of all keyholders asap. HAZ to call
ACTION: send an email to volunteers outlining the issue. HAZ
ACTION: cash up donations tin at end of night. EVENT KEYHOLDER
IMMEDIATE ACTION: HAZ to keep safe key all week as she is at all events.
Ward comittee application Haz buddying with Christo over accounts
Polytechnic request invoice copies for rent last two years.
ACTION. ILANA to talk to Laura
Broadband - polytechnic currently pay for this. need S+S to pay for it and in the rent for cottage residents.
Its a good deal and has good upload and download -its Zen. Costs - £104.97 a quarter. Cinema will take this over and Sneha looking into putting it on S+S phone line. Thanks to Polytechnic for paying for it for now.
Polytechnic want to have resident artists in studio. Need to sort out how the alram works with cottage and cinema - Ilana and Sneha looking into it.
Programming issues:
24th is a bank hol -
ACTION: HAZ will email vol to say prog meeting from 24th is actually moved to 31st
Building festival - plans on wiki. Please put ideas for knowledge sharing. Needs good planning and structure.
ACTION: Christo to call out for folk interested in planning. Fundraising events - Haz looking into James Knott + local council possible funds.
Publicity issues:
New communication plan made by Marie France and theer was a meting today.
ACTION: Stephanie will send an email updating.
Sunday films need a particular push - posters. Haz menioned, work on this as part of publicity team.
Building Maintenance:

Bar:
Broken fridge which has freezer is going to the fridge heaven. We will use top loading freezer.
ACTION: 2 broken fridges need disposing off - NEED A VOL.
Wylam - can we have our own ale? Haz to ask Alan to ask
Private hires:
Wedding event Haz agreeing it as regular private hire, we will order in polish drink etc in collaboration and they will serve bubbly at the start for free.

Issues arising from past 2 weeks:
Graffiti events - not sure we reached a consensus last week. Suggestions are to invite some of those involved to meetings, not just Don -though his letter which went out this week in response to the complaint was really good. ACTION - it is really impressed upon organisers that the place needs to be back to how it was. Also that we have a good plan and agreement before the event and a deposit.
ACTION - email to the group about the amount of stuff still to be completed - HAZ
Shifts + keyholder for the week.
Need to find out whether Prague collective event on Friday is happening - no response to emails so far, need to call Pauline.

Any Other Business
35mm for sale at Tyneside - Mat has seen it and we've agreed to offer £1500 and to pay off in installments. We reckon we could offer up to max £5k - but will need to work out good repayment system as we cant afford that either way. Agreed for Mat to negotiate with Tyneside and work with Christo on money arrangement.
