1. AV fest - all details are on the wiki and their print deadline is also this week. sarah cook and ilana are booking films. comments that films: too hollywood. other suggestions: year of living dangerously; radio on we are paying for two films: truman show; network choice 2: pump up the volume; radio on; etc. sarah and ilana to follow up and confirm.

2. Debbie deadline 15 dec text limit 50 words or email deborahbb....@lycos.com notes are on the wiki about the programme bill cancelling golden era films some things on the wiki but people haven't come to the meeting this is problematic. issue around the ivor cutler night -- it's on the wiki for a monday which we decided at a meeting we wouldn't do. the system currently favours the gig people because they just email pauline. we all agree that you can put things to the wiki but only confirmed if you come to the programme meeting. this is not being well enforced and isn't working in every case. valentine's day - open to suggestions, talk to matt asap. all other decisions about programme are on the wiki.

3. wiki not enough contact details, no description or too much. it is the printed programme compilers responsibility to check what is confirmed or not, and this isn't fair. we need to have better guidelines. proposal: put on the wiki page the date of the meeting and instruction that you have to be present at that meeting to confirm. (the meeting before the deadline for the copy). we can review this again if it isn't working. instructions to bold the letter C in front of the date when it has been confirmed AT A MEETING.

4. new year's eve meeting on wednesday at 530 to discuss it.

BFI matt: a calamity: two films in our projection booth - hiroshima; jour de fete - the BFI needed them urgently last friday and they are still here! we cannot rent a film from the bfi without communicating with them. the chief film booking person at BFI is livid. problems with the DHL guy getting delivery/pickup. he is usually in the ouseburn between 12 and 1pm. he resents using his own mobile phone to have to call, thinks we are never in. bill commented this reluctance to work with us has spread to film distributors in glasgow. bfi also indicated there were outstanding bills. comments that cracks also developing with troy distribution, and it's a shame things have been allowed to worsen in this way. suggestion: others who work in the neighbourhood - could pick up the films from them?? suggestion: office rota - we need to have volunteers to cover hours, and get stuff done in the office. suggestion: a print traffic coordinator (as important a role as bar and accounts) - a dedicated role. suggestion: a groveling letter to BFI saying the measures we are putting in to place, and issue of outstanding bills. matt says it's too late, it's now a phone call. suggestion: fix the door and talk to the delivery man so he has a key and knows where it is to come and go. burgular alarm issue? suggestion: befriend the tyneside cinema and find out if we can partner with them about print coming and going, with the responsibility that the projectionist/programmer has to be able to get the (heavy) films to the tyneside, etc. this might restore our credibility with the bfi etc.? there are two issues: pickup and delivery; box office returns: suggestion: alongside the booking of each film include a note about who the film came from; what the distributor needs back (box office takings register, invoice for minimum charge, etc.). we currently don't have a system for doing that and we need one. someone to take it on. ilana happy to set up that system - happy to send them a fax (the distributors need faxes, action: star and shadow to get one). suggestion: having a regular person who is the contact person for distributors such as BFI would help (was becca) suggestion: take the films to the DHL office in gateshead team valley. bill volunteers to do that in his car. agreed: mat and ilana to meet tomorrow to sort it out otherwise. agreed: to move the alarm and give the DHL guy a key to the little door. agreed: bill volunteers to be print traffic coordinator for the next three months. matt will do heavy lifting! suggestion: door volunteer or projectionist volunteer has to send a fax on the night.
